Order Information
Purchase Orders:
The following information must be included on your purchase order: Your company name, address, phone number, contact name, requested ship date, product number and description being ordered, quantity, product color, layout instructions for artwork, imprint color, unit cost, additional charges, and shipping instructions.
In-Hands Date:
If an order MUST be received by a specific date, the date must be clearly marked on the Purchase Order as an “in-hands date.” In addition to the in-hands date, you must also include the method of shipment to be used to insure delivery. We cannot guarantee delivery after an order has left our docks. If a delivery date cannot be met, we will notify you.
Order Acknowledgements:
We will acknowledge all orders by email. Orders will be produced as acknowledged and it is the responsibility of the customer to review the acknowledgement for corrections or changes prior to production. Use the acknowledgement form to email back any changes or corrections.
Exact Repeat Orders:
You must specify the previous purchase order number on your current purchase order. No set-up charge for exact repeats, if within 2 years.
Production Schedule:
Normal production time is listed by each product. Production time begins after art approval and final confirmation (payment if needed). Some orders may require additional production time (e.g., large quantity orders, multiple color imprints, additional location imprints, special packaging, etc.). Contact customer care for current lead times. Production time is subject to inventory availability. Rush service is available on select items.
Rush Service:
$50.00 (G). Orders must be marked Rush Service Required in subject of email and on the PO. Production time begins after proof approval and does not include the day order is received. Contact Customer Care for production time based on manufacturing availability. Prior factory approval is required before sending order.
Less Than Minimum:
$50.00 (G), absolute minimum is half the minimum quantity. Select items not available - noted on product page.
Overrun/Underrun:
All orders are subject to a 5% overrun or underrun and will be shipped and billed accordingly. Orders marked No Overrun will be subject to an underrun.
Order Cancellation:
Orders will be billed for work incurred.
Artwork and Imprint Information
Artwork:
We prefer digital artwork - Vector line art is the only form accepted. It provides the best quality and allows images to be resized without loss of details. Vector files must be saved as PDF, EPS, or AI formats. We cannot accept artwork used on websites or that originates from the internet. Art can be sent to beacon.orders@hpgbrands.com. Clean black and white, camera-ready artwork will be accepted. Artwork will be reviewed and if cleanup is needed, we will notify you in advance. A cleanup charge of $40.00 (X) is minimum.
Design Services:
Design time prices at $45.00 (X) per 30 minutes. Design Services include: design and layout, production-ready art creation, logo recreation and virtual sample requests exceeding 30 minutes.
PMS Color Match:
$50.00 (G). Exact matches cannot be guaranteed.
Imprint Color Change:
If a change of ink color is required during a production run, add $60.00 (G) per color.
Multicolor Printing:
Multiple color imprints can result in misregistration of up to 1/16" depending on the tightness of the registration. This tolerance meets industry standards and must be considered acceptable. Some items can be printed on one side only with close registration.
Additional Location Imprints:
Additional imprint locations, when possible, will be listed on the individual product page. Contact Factory for exact charges and custom quotes.
Unimprinted Product:
No set-up. Use next quantity price. If unimprinted product require an ingredient label be applied, they will be billed at EQP unless otherwise noted.
QR Codes:
Printing of customer-supplied QR codes only. We will print QR codes as accurately as possible, but due to the wide range of devices and user abilities, we cannot be held responsible for problems with QR printed items. Available on select items, contact customer care for items. Speculative sample highly recommended $65.00 (G).
Proofs:
Email proof FREE. Production time begins after proof approval. Proofs for orders produced at outside vendors are provided by the production company producing the order. Charges for outside vendor proofs are billable by a rate defined by the outside vendor (call for quote on proof cost). Note: Orders with personalization will have only the shortest and longest names proofed. Please be advised that requesting a proof with all names provided will incur extra charges and delay production. Be assured that we will print using all information provided within your name list, as it was submitted.
Orders Over $5000:
Factory requires a proof and pre-production sample to be produced on any non-exact repeat orders totaling $5000 or over. The cost of this pre-production sample, and ground shipping charges associated with it, will be provided at no charge. The required pre-production sample process for orders over $5000 can be waived, in writing, by the distributor. By foregoing the proof and/or pre-production process on orders over $5000, any dissatisfaction with the finished product (outside of production errors attributable to factory's workmanship) is the sole responsibility of the distributor/customer.
Speculative Samples:
Spec samples available for $65.00 (G) per color. Not available on items with custom full color printing on gift box. Spec Sample orders that develop into orders within 30 days of the sample shipping, with no changes, will not be charged a set-up charge. Orders that are placed within 30 days of a spec sample shipping, that are over $5,000.00, we will credit the charge of the spec sample.
Laser Engraving Variance:
We offer laser engraving on many of our wood product options. Please be advised that due to the natural composition of each individual wood piece laser engraving results will vary in color. The unique wood grain structure burns differently from piece to piece giving each laser engrave its own unique look. This is to be expected therefore no refunds, credits, or exchanges will be made for variance in laser engraving on our wood products.
Shipping Information
Shipping:
Orders are shipped FOB factory. Shipping cost is billed and added to invoice. Orders are normally sent UPS ground, unless otherwise specified. Cost is based on dimensional weight, not actual weight. Catalog weights are estimated to be used to figure freight cost. Some packages may need to ship in oversized cartons and will be subject to dimensional weight charges.
Handling:
A handling charge is added to each shipment.
Drop Shipments:
$10.00 (G) per drop shipment is added for shipments in the continental U.S.A. Drop shipment addresses MUST be received a minimum of 3 business days prior to shipping and must be in an excel format.
International Shipping:
Any order that is shipping out of the continental U.S.A. will have a $20.00 (G) shipping charge per destination. Third party shipper number required for international shipments.
Third Party Billing:
Billable orders shipped using 3rd party shipper account will be charged a $10.00 (G) fee per order.
Returned Shipments:
Factory authorization must be obtained to return merchandise for any reason. Goods may not be returned to factory without prior authorization, unauthorized returns will be refused and returned to sender at their expense. No claim or return will be accepted or credited 60 days after shipment. There will be a restocking fee of 15% of the order.
HOT WEATHER SHIPPING:
Between the months of April-September we recommend heat sensitive items be shipped in an insulated carton with cold packs. This adds $15 (G) per carton. Your order quantity will determine how many insulated cartons containers will be needed for each order and we will let you know on the invoice. Factory is not responsible for shipping costs. We can ship ground to any location within two days shipping from zip code 55121. Any other location will require 2-Day air shipment via FedEx or UPS to prevent melting.
